Marketing SaaS Platform

The Challenge
Engineroom engineers found it time-consuming to manually update business information in the platform’s backend, slowing down how quickly the product could stay current and relevant.
The team needed an AI-powered onboarding flow that could capture essential business information upfront and automatically populate backend data — reducing manual effort while creating a smooth first experience for new users.
My Approach
I approached onboarding as a product entry system, not just an account creation flow.
- Reviewed onboarding experiences from competitor platforms and best-in-class SaaS products to identify common friction points and effective patterns
- Defined onboarding goals around speed, clarity, and future scalability
- Mapped the end-to-end flow, including login, social sign-on, questionnaire, loading states, and completion
- Designed interactive prototypes to test screen sequencing, question clarity, and perceived effort
- Iterated on layouts and copy based on feedback, focusing on reducing cognitive load while maintaining a professional, trustworthy tone
The System
Rather than designing isolated screens, I created a structured onboarding system that could scale with the product.
Onboarding Flow Structure
- Full-screen, step-based onboarding with clear progress indicators
- Social login options to reduce friction at entry
- A short 3–5 question questionnaire to gather essential business context
AI-Ready Data Capture
- Questions designed to collect structured information suitable for backend automation
- Inputs mapped to backend fields to support AI-driven profile generation and updates
Experience Consistency
- Clear loading and transition states to maintain momentum and user confidence
- Visual hierarchy and spacing designed to guide attention and reduce overwhelm
This system established a repeatable foundation for future integrations and onboarding expansion.
